HEALTH, EDUCATION AND SOCIAL SERVICES DIVISION
MEDICAID AND SOCIAL SERVICES SECTION
DUTIES: Provide secretarial support to the Division Deputy, Medicaid and Social Services Section Chief and Senior/Assistant Medicaid Attorneys General in the Medicaid and Social Services Section. Salary and benefits paid by the Department of Medical Assistance Services. Type, proofread and finalize correspondence such as letters, memoranda, briefs, pleadings, and settlements. Draft routine correspondence. Create/copy CDs for client or courts when necessary. Receive, date-stamp, and distribute all incoming mail and facsimiles to Medicaid and Social Services attorneys. Answer, screen, and direct incoming calls to appropriate attorneys. Ship legal documents for in-house attorneys. Also, prepare travel reimbursement vouchers, and various administrative forms. Maintain agency records and Medicaid and Social Services database for Medicaid Eligibility Appeals, Medicaid Provider Appeals, and other matters. Set up and maintain filing for the Section Chief and Senior/Assistant Attorneys General. Maintain DMAS file index log. Create case files and maintain database in Case Management System. Prepare files for record retention, archiving or destruction. Provide backup assistance for the Section’s Department of Social Services’ Legal Secretary, the Division lead and other secretaries in the Division, on projects and duties as assigned. Coordinate with Section Chief on special projects. Provide legislative support during the General Assembly. Assume Floor Warden duties for occasional fire and tornado drills; keep and maintain list of all zone wardens.
QUALIFICATIONS: Successful candidate will have demonstrated strong written and verbal communication and interpersonal skills; knowledge of legal procedures, terminology and rules of court; excellent secretarial, organizational and record keeping skills, including typing (60-70 wpm), spelling, grammar, proofreading, editing and formatting, and basic math functions; experience in preparing memoranda, briefs, pleadings and correspondence; attention to detail and accuracy; and, the ability to prioritize, multi-task and meet deadlines. The successful candidate should also be able to exercise independent judgment. Considerable knowledge with, and experience in, Microsoft Office software programs is required. Minimum of two years of legal secretarial experience is required.
